Role Overview
We’re looking for a hands-on Sales Operations Coordinator to keep our commercial engine running smoothly — managing day-to-day activations, order flow, RMA logistics, billing, and satcom hardware procurement.
You’ll be the operational link between Sales, Technical Operations, Finance, and our vendor ecosystem (Starlink, Iridium Certus, KVH, and others).

What You’ll Do

  • Manage service activations/deactivations & upgrades for satellite communications: prepare requests, validate details, coordinate with vendors, and confirm completion with customers.

  • Maintain CRM hygiene and updates: ensure accurate account, asset, and contract data; track pipeline changes; log orders and service changes.

  • Handle sales order processing: create and track sales orders, POs, and delivery notes; liaise with suppliers and logistics partners to meet promised ETAs.

  • Oversee RMA logistics: open cases, manage replacements, track inbound/outbound RMAs, and keep customers informed until closure.

  • Support billing & invoicing: prepare invoices and credit notes, validate recurring charges (airtime/subscriptions), reconcile with contracts, and assist during month-end close.

  • Manage procurement & stock for satcom hardware: place vendor POs, monitor inventory (antennas, modems, accessories), record receipts and stock movements, and maintain minimum stock thresholds.

  • Maintain SOPs and checklists, surface issues, suggest improvements, and help standardize workflows across Sales and Operations.

Qualifications & Skills

Required:

  • 1–3+ years of experience in sales operations, order management, logistics coordination, or business support—ideally in telecom, satcom, IT, or B2B tech.

  • Working knowledge of SoftOne (ERP/accounting) for orders, invoicing, stock, and financial postings.

  • Familiarity with ClickUp (or similar) for task and workflow management.

  • Strong Excel/Google Sheets skills and comfort with structured data.

  • Excellent English and Greek communication skills (written and spoken).

  • Strong attention to detail, follow-through, and ability to handle multiple requests simultaneously.

Nice to Have

  • Exposure to B2B subscriptions, recurring billing, or inventory control.

  • Basic understanding of maritime operations or the shipping industry.

Success Metrics

  • Activation and upgrade requests completed on time and error-free.

  • Order and RMA turnaround within SLA.

  • Billing accuracy on first pass; minimal credit notes.

  • Stock availability meeting target thresholds.

  • CRM data quality and freshness across all accounts.
